Assistant Director of Development and Communication

The Assistant Director of Development and Communication, reporting to the Director of Development and Communication, is responsible for working collaboratively to bring both structure and innovation to our fundraising and communications activities. This role is both strategic and tactical, requiring the ability to think big while minding all the details. This person must appreciate structure and systems and believe that having them run well makes the work more effective.  They must value anecdotes and numbers in equal measure.

The person in this role must be a savvy self-starter and project manager who is comfortable juggling multiple projects and who enjoys working on small teams whose members all wear many hats. They must have superior organizational skills, excellent communication skills, and sound judgment, and they should be interested in working in a fast-paced environment with highly motivated staff in a mission-focused organization. 

Position Summary:

Responsible for ensuring an integrated, effective, and successful fundraising program.  The Assistant Director of Development and Communication will provide oversight of all data management and reporting, will manage prospect research, gift processing, constituent records, gift reporting, gift agreement documentation, workplace giving applications, and matching gift completion.  This team member will manage vendor relationships for print, mail, and event efforts and will update and manage the annual calendar based upon a work plan, collaboratively created with the development team.  Must possess strong attention to detail, have proven organizational skills, and be willing to take the lead on ensuring projects and efforts are on track.

Strategy, Planning, Preparation

  • Work with the DOD to develop a communications calendar, content plan, and design and approval process that covers all online and offline communications
  • Manage the donor and communications database.  Spearhead improvements by understanding organization needs and implementing changes to meet those needs. Periodically review constituent codes, assignments, and donor records to ensure accuracy. Routinely update how-to documentation 
  • Support the annual audit

Development Operations (60%) 

  • Enter all gifts (including in-kind and matching) and donor information into the database to ensure the processing, tracking, reporting, and acknowledgement of gifts is accurate and timely. Produce pledge reminders on a regular basis.
  • Create deposit reports and prepare bank deposits
  • Produce weekly gift and revenue reports. 
  • Manage invoice/payment processing and expense tracking for development activities 
  • Assist the ED and DOD with moves management updates/contact reports for prospecting, cultivating, soliciting and stewarding.  Present research findings to assist with relationship building.  
  • Ensure prospect information is up-to-date in the database after each prospect meeting
  • Support the ED, Director, and Board with individual fundraising/donor stewardship activities.
  • Manage mailings of event invitations, fundraising appeals, and the annual report, ensuring information from both RE and Volunteer Hub are included as appropriate
  • Research and process returned mail, including entering new address, telephone, email, etc
  • Maintain documentation for grant and government funding and submit applications to maintain giving opportunities with the United Way, MCC, CFC 
  • Manage the execution and accuracy of donor lists for the annual report
  • Ensure necessary supplies are available for operations of the Development office
  • Provide administrative support as needed.

Event Management (10%)

  • Plan Virtual and in-person events
  • Virtual: Manage online fundraising platform for special days of giving
  • In-Person: Manage all logistics from site rental to room set up, tracking event registration and attendance, serving as point person for setup, check-in/out, audio-visual, catering and end of event wrap-up

Fundraising Communications (30%):

  • Implement the organization’s fundraising appeals in print and online through electronic solicitations and communications, monthly giving and social media fundraising.
  • Think creatively about donor stewardship and update plans and content regularly with new and meaningful ways to connect donors and foster a sense of community
  • Manage a portfolio of donors recruited as social media influencers and peer-to-peer fundraising volunteers
  • Design and execute crowdfunding campaigns, identify, recruit, manage and motivate volunteers for peer-to-peer fundraising in support of crowdfunding. 

Education, Experience, Skills, and Qualities:

  • Bachelor’s degree, preferably in English, Communication or a related field with 5+ years of experience in fundraising, database management, and nonprofit administration. 
  • Experience managing and improving development operations, ranging from database management gift processing to gift management
  • Exceptional verbal and presentation skills with a high level of attention to detail and excellent proofreading and editing skills
  • Must be a strong writer with proven ability to develop high-level, compelling copy. Ability to quickly synthesize complex ideas and turn them into compelling material.
  • High level of proficiency with Microsoft/Google Applications required, and experience with WordPress, Raiser’s Edge NXT, and social media platforms a plus
  • Must readily connect the dots between fundraising, communications, and programs. 
  • An ability to communicate easily, respectfully and sensitively with stakeholders of all ages, generations, ethnicities, and socio-economic backgrounds demonstrating respect and compassion with internal and external audiences.  
  • Proactive, organized and energetic self-starter with the willingness to work hands-on to develop and execute a variety of fundraising and communications activities.
  • Candidates must thrive in a highly collaborative environment while also possessing the ability to work well independently with minimal supervision.
  • Diplomacy, tact, a positive attitude, and a sense of humor are musts.
  • Enthusiasm to propose fresh ideas without prompting by leadership, openness to feedback on those ideas, and a persistence to bring those ideas to life
